A practical model agency submission workflow
An application inbox works best when the next action is obvious. This workflow is designed for a small agency with one reviewer. It is an operating starting point, not an automated talent selection system.
One intake link
Put the current application link on your official website and social biography. State who can apply, the photos needed and how the agency handles replies. Keep application requirements consistent across those places so applicants do not have to guess.
Five stages with a clear meaning
- New: received and not yet reviewed.
- In review: being considered by your reviewer.
- Shortlisted: worth returning to for a closer look.
- Contacted: a message has been sent; check the conversation before following up.
- Closed: no further action currently planned.
A stage is an internal workflow label, not a promise of representation. Agree what each stage means before you use it and avoid using a status change as a substitute for a clear message.
Useful notes, fewer loose files
Record the practical reason for the next step, such as requesting a missing photo or arranging a conversation. Keep notes relevant and professional. Avoid copying unnecessary personal information into private notes or spreadsheets.
A bounded review routine
Choose a recurring time to process new submissions, review the shortlist and check conversations awaiting a response. Measure your actual administration time with a small sample before setting a target. Our time calculator helps turn that sample into an estimate.
Retention is part of the workflow
Know when applications expire and what happens when an applicant withdraws. ModelSubmission’s pilot removes agency access immediately on withdrawal and schedules deletion under its privacy notice. If you export a CSV, your agency remains responsible for that separate copy.
Try the process with your own agency
The free pilot has one owner account and up to 250 retained applications, with private photos, notes, shortlists and messages. Agency details are checked before public intake opens. See the pilot and start a workspace.
